Sai Invoice Tracking

Effective date: 30 October 2026

1. Acceptance of Terms

These Terms of Service govern the use of the Sai Invoice Tracking desktop application and associated website.

Sai Invoice Tracking is operated by SAI PHYSIOTHERAPY Pty Ltd (“we”, “us” or “our”).

By installing, accessing or using the application, you agree to these Terms.

If you use the application on behalf of a business or organisation, you confirm that you are authorised to do so.

2. Description of Services

Sai Invoice Tracking is a desktop application intended to assist with appointment-based invoicing and administrative management.

- Managing service dates, hours, rates and invoice references

- Generating PDF invoices

- Preparing and sending invoice emails

- Maintaining invoice and submission history

- Supporting periodic invoice reset workflows

The application is an administrative tool and does not constitute a professional accounting or financial management service.

3. Authorised Use

Users must operate the application lawfully and responsibly.

You agree not to:

- Generate knowingly false or fraudulent invoices

- Access confidential information without authorisation

- Send unauthorised or unlawful communications

- Misuse the application to breach privacy or security obligations

- Infringe applicable intellectual property rights

Access and use may also be subject to a separate licence or service agreement.

4. User Responsibilities

Users are responsible for reviewing and verifying information processed through the application.

This includes:

- Checking invoice amounts, service dates and rates

- Verifying invoice references

- Confirming client and recipient details

- Reviewing generated PDF documents

- Maintaining accurate business records

- Protecting confidential information

- Maintaining suitable data backups

- Complying with applicable taxation, privacy and record-keeping obligations

The application is intended to reduce repetitive administrative work but does not eliminate the need for user review.

5. Data Storage and File Management

Sai Invoice Tracking operates primarily on the user's local computer.

The application may read, update or generate files in user-selected locations.

Certain approved operations may modify existing Excel files, create PDF documents, generate backups or reset invoice entries.

Users are responsible for understanding the effect of these operations and maintaining appropriate copies of important records.

We recommend that new users test the application with non-sensitive sample files before using live client information.

SAI PHYSIOTHERAPY Pty Ltd does not routinely maintain central backups of files stored exclusively on a user's device.

6. Third-Party Services

The application may integrate with third-party services, including calendar providers, Gmail and cloud-storage platforms.

Users are responsible for complying with the relevant third-party terms and maintaining any required accounts, licences and credentials.

We are not responsible for the independent operation of third-party platforms.

Service interruptions, changes to external APIs, account restrictions or connectivity issues may affect application functionality.

7. Invoice and Email Processing

Users must independently verify invoices before issuing them.

Where email functionality is available, users initiate submission of selected invoice documents through a configured email service.

Acceptance by an email server does not guarantee successful delivery, receipt or payment.

The application's duplicate-prevention and submission-tracking features are intended to assist users but do not replace their responsibility to monitor billing records.

8. Privacy and Confidentiality

Users must comply with applicable privacy and confidentiality obligations when processing information through Sai Invoice Tracking.

Where health-related or other sensitive information is involved, users must ensure that appropriate authority, safeguards and access controls are in place.

Our handling of personal information under our control is described in our Privacy Policy.

9. Intellectual Property

Sai Invoice Tracking, its branding, original documentation and proprietary components remain the intellectual property of SAI PHYSIOTHERAPY Pty Ltd or their respective rights holders, as applicable.

Users receive only the rights expressly granted under an applicable licence or other authorised arrangement.

These Terms do not override applicable third-party or open-source software licences.

Unless otherwise permitted by law or licence, users must not reproduce, commercially redistribute or misrepresent ownership of proprietary application materials without authorisation.

10. Software Availability and Updates

We may improve, modify or discontinue features of Sai Invoice Tracking.

Updates may affect supported file formats, operating systems, workflows or third-party integrations.

We do not guarantee uninterrupted operation or compatibility with every device and software configuration.

Where reasonably practicable, material changes will be communicated to affected authorised users.

11. No Professional Advice

Sai Invoice Tracking is provided as an administrative invoicing tool.

It does not provide accounting, taxation, financial, legal or clinical advice.

Users remain responsible for obtaining appropriate professional advice and ensuring their invoicing and record-keeping practices comply with relevant requirements.

12. Warranties and Limitation of Liability

We aim to provide reliable software functionality.

However, operation may depend on user configuration, device compatibility, third-party services and the accuracy of supplied information.

To the extent permitted by law, we do not guarantee that the application will be free from every error, interruption or compatibility issue.

Users acknowledge the importance of reviewing documents, verifying results and maintaining appropriate backups.

Nothing in these Terms excludes, restricts or modifies any consumer guarantees, rights or remedies that cannot lawfully be excluded, including under the Australian Consumer Law where applicable.

Any limitation of liability applies only to the extent permitted by law.

13. Suspension or Termination

Access to Sai Invoice Tracking may be suspended or withdrawn where there is unlawful use, a material breach of these Terms or a significant security concern, subject to applicable law and separate agreements.

Where reasonably appropriate, notice will be provided.

Termination does not automatically delete the user's locally stored files or third-party records.

14. Changes to These Terms

We may revise these Terms to reflect changes in application functionality, business operations or applicable law.

Updated Terms will be published on our website.

Where legally required, notice or renewed acceptance will be obtained.

15. Governing Law

These Terms are governed by the laws of Victoria, Australia, subject to mandatory laws that apply.

Disputes will be handled in accordance with applicable Australian law and the jurisdiction of the appropriate courts or tribunals.
